Privacy Policy

Solutions Sparkops Inc.
Effective October 9, 2026. Last updated: October 9, 2026.

This policy explains what personal information we collect, why, who has access to it, how long we keep it and how to exercise your rights. It also describes our internal rules.

Who we are

  • Solutions Sparkops Inc., Laval, Quebec, NEQ 1179657987. We provide operations, RevOps and software development services to businesses.
  • Person in charge of the protection of personal information: Carlos Martins, President, carlos@sparkops.ca.

What we collect and why

  • Email: your name, your email address and your message. We use them to answer you and follow up on your request.
  • Visiting the site: the site sets two cookies needed for it to work: a session cookie (7 days) and a language cookie (1 year). Our host processes your IP address to display the site. We use no audience measurement, advertising or social media tools, and we do not track your browsing.
  • Clients and suppliers: business contact information, contracts, invoices and payments, to perform our contracts and keep our accounts.
  • Your choices: if you block cookies, the site will not remember your language.

When we work for our clients

  • We operate tools on behalf of our clients, for example an automated customer service. We then process their customers' information according to their instructions, and only for the service requested.
  • The client's privacy policy applies. If you write to us about it, we forward your request to the client concerned.

Who has access

  • At Sparkops: Carlos Martins, our only employee. Our software agents act under his responsibility, with only the access their task requires.
  • Our service providers, for the service they provide to us:
    • Odoo SA: website;
    • Google Workspace, Microsoft 365 and Slack: email, documents and messaging;
    • Vercel and Neon: hosting of our applications and their databases;
    • Anthropic (Claude): artificial intelligence used by our software agents to process our email, documents and accounting; the content of your messages may be processed there;
    • Intuit QuickBooks: accounting;
    • Apple (iCloud): storage of our supporting documents;
    • Plaid: read-only access to the company's bank accounts.
  • Our accounting firm and, when the law requires it, the tax authorities.
  • Several of these providers process or store information outside Quebec, including outside Canada.
  • We do not sell your information.

How long we keep it

  • Accounting records and supporting documents: six years after the end of the tax year they relate to, as tax law requires, then destroyed.
  • Messages and requests: as long as needed to answer you and follow our business relationship. We review them once a year and delete those no longer needed.
  • Information processed for a client: at the end of the engagement, we return it to the client or destroy it, according to the client's instructions.

Your rights

You may:

  • find out whether we hold information about you and get a copy;
  • have it corrected if it is inaccurate, incomplete or ambiguous;
  • receive the information you provided to us in a commonly used digital format;
  • withdraw your consent to its use or disclosure, subject to our legal obligations, such as keeping accounting records.

Write to carlos@sparkops.ca. We verify your identity and answer you in writing within 30 days. Access is free; only reasonable fees for copying or sending may be charged, and we tell you in advance. If we refuse or do not answer within 30 days, you may apply to the Commission d'accès à l'information (cai.gouv.qc.ca) within the following 30 days.

Complaints

For any complaint about how we handle your information, write to carlos@sparkops.ca. We acknowledge receipt, review the complaint and answer you in writing within 30 days. If our answer does not satisfy you, you may file a complaint with the Commission d'accès à l'information.

Security and incidents

  • Our measures are described in our information security policy (sparkops.ca/security-policy): individual and limited access, encrypted workstations, encrypted transmissions, read-only bank access.
  • We record every confidentiality incident in a register. If an incident presents a risk of serious injury, we notify the Commission d'accès à l'information and the persons concerned.

Our internal rules

  • Carlos Martins holds every responsibility, at every stage: collection, use, retention, destruction, requests, complaints and incidents. He approved this policy as the person in charge.
  • Our software agents act only on his instructions.
  • This policy is reviewed every year.

Changes

Any change is published on this page, with its date and a notice at the top of the page.
